Service Rates

 

By requesting services from Totera Incorporated, PALMATEC L.L.C., Tada CMS, MyCityScene, or NameGig ("Totera"), Client agrees to The Totera Terms of Service.

Fees

 

  1. Totera hourly rate is $135.00
  2. A retainer discount of 20% is available for a six-month commitment of 10 hours or more per month. 
  3. A "rush charge" of 30% will be added to projects requiring additional resources to complete before standard scheduling allows.
  4. Totera will deliver an invoice to the client-email address on file.  All fees must be paid-in-full by the Due Date indicated on the invoice.
  5. All invoices not paid by the Due Date indicated on the invoice will be charged a Late Fee each month until the balance is paid in full.
  6. The Late Fee service charge is calculated as the greater of $20 or two percent (2.0%) of the balance due.
  7. Late fees are compounded on the first day of each month that an outstanding balance remains.
  8. Client must contact Totera to dispute a charge on the invoice BEFORE the Due Date indicated on the invoice to avoid a Late Fee.
  9. All past due accounts may be subject to immediate credit restriction and will be required to prepay for additional services.
  10. Failure to pay any invoice within ninety (90) days of Due Date may result in additional charges, including collection costs and attorney fees.
  11. If balance due is not paid-in-full after a second notice or reminder is issued, services may be cancelled.
  12. Totera can provide the files used to display your website for a one-time export fee of $149.00

 

Payment Terms

 

  • Initial payment of 50% to begin project, with the balance due upon completion.
  • If the project is still open after 30 days, 25% of the contracted balance is due at that time.
  • If the project is still open after 60 days, 15% of the contracted balance is due at that time.
  • The remaining contracted balance is due when the project is complete.

The retainer program is designed for our clients who have ongoing web design needs, such as regularly scheduled consultations, site updates, SEO, support and training. Our fixed-fee retainer program helps organizations plan ahead for web expenses, lock in savings, and keep their website accurate and up to date.

We are a small firm and spend our resources carefully. We schedule our retainer tasks in-advance every month before we schedule projects for our non-retiner clients. 

We're ready for you!

Pre-paid services are already on our schedule. So when you need something fast, we can usually accommodate a quick turn-around. Our customary 30% rush charge does not apply to retainer clients.

Itemized Task Tracking

Your personalized worksheet will display your allotted hours, a running balance of your retainer hours, the hours carried over from previous periods, and a summary of what tasks are scheduled, in-process, or completed.

Frequently asked questions:

  • How long does the retainer last?

    We usually recommend setting up a retainer for 12-18 months, and then reassessing your needs and adjusting the amount. There is a minimum committment of six months to be in the program. Retainers can be cancelled anytime after six months.

  • Do you offer discounts?

    Yes. A 20% discount is applied to customers committing to 10 hours or more per month.

  • Is there a large down payment required?

    No down payment required. The program starts as soon as we receive the first monthly fee.

  • What type of services are included?

    Your allotted hours per month can be used for any service we provide such as consulting, graphic design, web design, programming, marketing, SEO and site updates.

  • What if I need more hours than we prepaid for?

    We can amend the agreement, or simply send an invoice for the additional services.

  • Can unused hours be rolled over to the next month?

    Absolutely. Unused hours are carried over to the following month. However, the hours purchased must be used before the contract expires. Retainer payments are non refundable. 

  • Will hourly rates increase?

    Not during the term of retainer contract. However, our rates may go up over time and we cannot guarantee that the monthly rate for a new contract will be the same as a previous contract.

  • Is hosting or domain registration included?

    It could be if we discussed that option up front. The fees paid to outside services are difficult to anticipate. However, we have considerable experience pricing out these services and in most cases can combine all of your ongoing web expenses into the fixed monthly rate. 

  • How much does it cost?

    Each organization has different needs and expectations. We personalize retainers to provide maximum efficiency for our clients. Some clients are on retainer for one hour per month to cover ongoing site maintenance. Other clients have complex needs and pay a flat-fee of $5,000+ per month for our services in lieu of hiring more in-house staff. The average retainer is between $1,000 and $2,000 per month.
